A simple, sequential rent receipt to document each payment — amount, method, period covered, and any remaining balance.
Several states legally require landlords to provide a receipt for cash rent payments, with requirements varying by state. This is a general template, not legal advice. Confirm your state's specific requirements before relying on it.

Several states legally require landlords to provide a receipt for cash rent payments, and even where it's not required, skipping this leaves you with no documentation if a tenant later disputes having paid.
Receipts that don't match your rent roll or ledger
If your receipts and your internal payment records disagree, it undermines your credibility in any dispute — keep them in sync, ideally by generating both from the same system.
Not noting partial payments clearly
A receipt that just says '$800 received' without stating the total rent due and remaining balance creates ambiguity about whether the tenant is caught up or still owes money.
No sequential numbering
Without receipt numbers, it's harder to prove a complete, unbroken payment history if a tenant claims a payment was never recorded.
Informal, undated notes instead of a real receipt
A sticky note or text message isn't a substitute for a dated, signed receipt with the payment details — it won't hold up the same way if there's ever a formal dispute.
Losing track of receipts entirely
Managing payment records across paper receipts, texts, and memory for multiple units makes it nearly impossible to reconstruct an accurate history when you actually need one.
LeasePilot HQ automatically generates a payment record for every rent payment collected online, so you're never reconstructing a receipt history from memory.
Generate it from your real lease and tenant data, keep it filed with the property, and never dig through email for a copy again.
